When the weather turns: handling the storm-day rush

26 October 2026 · 4 min read · Miles Pearson, Founder

For a roofing firm, a storm is the closest thing to a guaranteed rush of work. It is also the time when the most leads are lost, because everyone calls at once and the office simply cannot keep up.

Why the busiest days go wrong

A phone line can only take one call at a time. When the weather turns, homeowners call several firms in quick succession, and whoever answers first is in the strongest position to win the job. Every caller who hears an engaged tone or reaches voicemail is likely to try the next number.

At the same time, your team is under pressure on site. The people who would normally answer the phone are out making properties safe, so calls go unanswered at exactly the moment demand is highest.

Prepare before the season, not during it

The firms that handle storm days well tend to decide in advance how they will work, rather than improvising on the day. A few things help:

  • Decide what counts as urgent. Agree what needs a same-day visit (water coming in, structural damage, safety risks) and what can wait a day or two.
  • Plan for temporary repairs. Knowing that you can offer to make a roof watertight quickly, and quote for the full repair afterwards, lets you help more people sooner.
  • Capture every caller. Even if you cannot visit everyone this week, you want the name, address, number and a description of the damage for every person who calls.
  • Work through the list in order. Calling people back in a sensible order, with the urgent jobs first, keeps people on side even when you are stretched.

Answer every call, even the ones you cannot take yet

The single biggest difference is simply answering. A caller who speaks to someone, has their details taken and is told when to expect contact is far less likely to keep ringing round other firms than one who reaches voicemail.

This is where an AI receptionist earns its keep. The RoofersMaven AI Receptionist can handle many calls at the same time, so your line never backs up. It asks the right questions, separates urgent jobs from routine ones and sends every lead to you as it comes in, so the busiest days of the year bring in work instead of losing it.
